A clear next step, whether you’re writing your first quote or chasing your last invoice.

How do I get access?

Contact us to request a trial. Once approved, create and verify an account with the same email. Trial access is set by the owner; registration alone does not activate a trial.

Set up your business

New users complete business setup first. Add your name, contact details and relevant company and VAT details. If VAT registered, enter your 9-digit registration number and confirm you have checked it with HMRC against your business. VAT controls stay hidden until this is complete; the app does not perform a live HMRC lookup. A logo and bank details are optional. You can edit them later in Settings.

Create and save a quote

Choose New quote, link a customer and job, enter room measurements, materials and labour, then check the total and VAT. Work saves automatically. Wait for Saved online before closing.

Price work by room

In Rooms, tick the work required. Pricing shows its measured area or length and saved labour rate. Enter quantities for doors, skirting, wallpaper rolls and other items that cannot be calculated from room dimensions. You can override measured quantities. Assign additional labour and materials to a room for its total; whole-job day work remains separate. Check for double charging if you already priced that work.

Estimate boards and coving

Select boarding or coving for the room. Compare board sizes or choose the coving length, then add the chosen product to materials. The estimate includes 10% waste rounded up to whole boards or lengths. Update material quantities after changing measurements.

Private room records

Private room notes, preparation details and room photos are for you only. Customer PDFs include the room work description and selected work, but never private notes or photos. Preparation flags do not add charges automatically.

Send a quote or invoice

Choose Send quote or Send invoice to protect the saved version, then tap again to open your device’s share menu with a PDF. Select WhatsApp or email and your recipient. If sharing is unavailable, Download PDF and attach it yourself. Mark Sent only after sending.

Create an invoice

Mark your saved quote Accepted, then choose Create invoice beside Save quote. It creates a separate invoice draft and keeps the original quote. Check its due date and payment terms before sending.

CIS invoices for builders

Open the invoice, choose Pricing and switch on Apply CIS. Use the contractor-confirmed rate: 20%, 30% or gross payment at 0%. Review actual qualifying costs against receipts; only these and VAT are excluded, not materials markup or ordinary expenses. PDFs show the deduction and amount payable. Reminders, statements and overdue balances use that net payment. CIS is separate from VAT. Use Invoice VAT above it for qualifying domestic reverse-charge work.

Reverse-charge VAT for builders

Open an invoice → Pricing → Invoice VAT and switch on Apply domestic reverse-charge VAT. Check both businesses are VAT registered, the payment is reported under CIS and the work qualifies. Do not use for zero-rated work or where written end-user/intermediary confirmation excludes it. Enter the customer VAT number and billing address, select 20% or 5%, then confirm your eligibility check. Your own VAT registration and number must be in Settings. The selected treatment and rate cover the whole invoice; use separate invoices for different treatments or rates. VAT is shown for the customer to account for, but is not added to what they pay you. CIS can be applied independently, including 0% gross payment. Drafts save while incomplete; PDFs cannot be sent until these details are complete. VAT numbers are not automatically verified.

Track overdue invoices

Open Invoices → View overdue. Only invoices marked Sent with a due date in the past are overdue. Send reminder prepares editable text to share yourself. Record it as sent after sending. Mark Paid when payment arrives.

Send a customer statement

Choose Customer statement in Invoices or a customer record. It lists that customer’s linked Sent, unpaid invoices across all jobs. Drafts, cancelled and paid invoices are excluded. Recorded part payments and credits reduce each balance.

A customer returns for another job

Open their existing customer record, add a new job and create another quote. This keeps their earlier quotes, invoices and history together.

Reset a password

On the login page choose Set or reset password. Enter the code from the newest email, then choose a password of at least 12 characters. Check spam if the email does not arrive. Never share a password or code with support.

Keep a separate copy

Use the full backup in Settings to include photos, or Export backup in My quotes for workspace JSON. After a trial ends, Export saved work remains available on the account access screen. Keep downloaded PDFs and photos separately.

Deposits, payments and credits

On an invoice’s Customer tab, record payments received, deposits and refunds with their dates. Credits reduce the invoice; refunds record money returned. The original invoice is preserved. Mark Paid records the remaining balance as received.

Protected versions and variations

Protect a version before sharing. A protected quote can be revised into a separate draft. Add variation / extras creates a linked quote for additional work only; accept it before invoicing it. Correct a protected invoice with a credit note.

Customer approval links

On a protected quote’s Customer tab, create and share an approval link. It expires after 30 days. The customer reviews the PDF and records a one-time acceptance or decline and their name. Check customer decision to bring that status into your workspace. A typed name is not independent identity verification. Revoke unused links if needed.

Job profit

Open Journal for private estimated and actual costs. Linked job invoices contribute revenue, less credit notes. Include your own labour and overheads. The displayed profit is before unrecorded costs and tax, not your bank balance.

Backup and accounting export

Settings includes full JSON backups with photos, automatic saved versions, restore review and generic accounting CSV. Restore can add missing records, recover changed documents as separate drafts and optionally restore settings. It never overwrites issued history or recorded payments. Review recovered invoice drafts to avoid billing twice. Map CSV columns in your accounts software; there is no direct Xero connection.

What is not included yet?

Automatic reminder emails are not included. App subscriptions are managed separately through Settings → Subscription. Mixed VAT rates or treatments within a single invoice are not supported. Material prices are editable reference values, not live supplier prices.
